The travel distribution system

Distribution channels and consumer purchasing behaviour varies from market to market, so you need to understand the structure of the distribution system specific to your target markets before attending a trade show.

How does the distribution system work?

The travel distribution system is a complex, global network of independent businesses. This network includes a series of distributors or intermediaries, who play a specific role in the development, promotion and purchasing process of Australian tourism experiences.

Online technology and company mergers have transformed the tourism industry, with an increasing amount of crossover in the roles and functions of various sectors of the distribution system. Businesses engage a mix of distribution partners to reach their  target consumers.

The traditional structure of the distribution system includes Inbound Tour Operators (ITOs) based in Australia; wholesalers based overseas and international retail travel agents. However, this varies considerably from market to market. For example, it is not uncommon for an inbound tour operator to be part of a larger company that may also operate a wholesale arm in an overseas market, or for a wholesaler to also operate the travel agencies that sell its packages.

Many traditional travel distributors such as wholesalers and travel agents take an online approach as well as offering their services from a retail shop front.

Both online and traditional distribution partners have the opportunity to work with each other and directly with products and customers. As the traditional distribution system continues to evolve, it is important to clearly understand the structure of the companies that you work with and their relationships with other organisations. 

Why work with travel distributors?

Travel distributors allow you to broaden your customer base far beyond the reach of your own marketing budget.

They are important to the inbound tourism industry as overseas consumers still heavily rely on the advice of local travel experts when planning and booking their Australian holiday, particularly in long-haul and emerging markets. Travel distributors can also provide market intelligence, insights and advice on a specific market. The travel distribution system covers all the channels through which an international traveller can buy your product. 

Inbound tour operators

An inbound tour operator (ITO), also known as a ground operator or destination management company (DMC), is an Australian based business that provides itinerary planning and product selection, and coordinates the reservation, confirmation and payment of travel arrangements on behalf of their overseas clients. They bring the components of accommodation, tours, transport and meals together to create a fully inclusive itinerary. ITOs are the link between Australian tourism products and the overseas travel distributors that buy them, including travel wholesalers, direct sellers, travel agents, meeting planners and event planners.

Wholesalers

Wholesalers are located in overseas markets and have traditionally provided a link between travel agents and ITOs or tourism product. Wholesalers purchase programs developed by ITOs or develop their own packages and itineraries for travel agents and consumers. These packages will usually offer transport, accommodation, tours and attractions. In some markets, wholesalers are also ‘direct sellers’ who bypass travel agents to directly target consumers. In other markets, there are no wholesalers in the traditional sense and travel agents perform both roles. Traditionally, travel packages are published in brochures and promoted and distributed via retail travel networks. Wholesalers may operate their own retail outlets or work with an established network of travel agents in their own country. Many wholesalers specialise in specific market segments such as adventure or the seniors market and many also have an online presence.

Retail travel agents

Retail travel agents offer wide distribution in prominent shop front locations and a convenient place for travellers to make bookings and buy holidays. Traditionally, retail travel agents have provided a link between the wholesaler and consumers. With the integration of distribution roles, the retailer may deal directly with ITOs or Australian-based products, particularly in Asian markets. Many retail travel agents belong to a larger chain of travel agencies or consortiums that use their combined resources to market the agency brand. In some countries, retail agencies may be operated by travel wholesalers, or may concentrate on particular market segments such as special interest or family travel. Many retail travel agents also have an online presence.

Online travel agents

Online travel agents (OTAs) specialise in online distribution and have no intermediaries – they deal directly with consumers and tourism product. Consumers can purchase a product or an entire holiday package online. Online distribution is less structured than the traditional travel distribution system. Commission levels vary, depending on how the site is operated.

Meeting and incentive partners

The business events sector is one of the highest yielding inbound tourism segments. Meeting and incentive planners organise and manage all aspects of meetings and events including conventions, conferences, incentives, seminars, workshops, symposiums, exhibitions and special events.

Meeting and incentive planners use a wide variety of venues, tour operators, accommodation, team building companies and restaurants. They look for unique travel experiences and require different support and facilities to leisure tourism. Meeting and incentive planners are also known as: Professional Conference Organisers (PCO); Destination Management Companies (DMC); Conference Managers; Event Managers; Incentive Houses; Travel Fulfillment Companies; and Special Project Managers.

How do I price my products for distribution system partners?

Travel agents, wholesalers and ITOs provide valuable distribution that you may never be able to secure on your own. Commission is only paid once a sale has been made. You must understand the difference between nett and gross (or retail) rates and protect your rates by providing the correct rates to each level of the distribution system.

Rates should be clearly marked as either gross (retail) or nett. Gross Rate = Nett Rate + Agent’s Commission. The gross or retail rate of a product is the amount that the consumer pays and should be consistent across all distribution channels.

For example, a customer should pay the same price if they book direct, via an international travel agent or via the internet. Consumers will not purchase the product from a travel agent in advance if they know they can purchase it directly from you at a reduced price. Agents will not promote and market your product if they know the consumer is not going to buy from them.

Founded in 2003 by passionate service industry veterans, Equity Travel started as an inbound tour operator based in Sydney and has been very active in the source market, China, since the commencement of the business. The owners and the management team of Equity Travel have over twenty years' experience in tourism industry with profound knowledge of the China market especially in the inbound sector.

With development over more than fifteen years, the company has built a solid network to provide seamless land services across the country. The headquarters remains in Sydney and is supported by branches in Gold Coast and Melbourne with overall coverage of operations in Australia nationwide.

Sharon Hando Travel the World Group

SHARON HANDO – Director of Sales

Sharon Hando, our Director of Sales at Travel the World, works tirelessly with our dedicated sales team to increase awareness, drive sales and deliver opportunities for our Travel Service Provider brands, as well as for our other key cruise line partners.

Sharon has been a key member of the team that has worked diligently to build business for our GSA brands such as Holland America Line and Ponant Yacht Cruises and Expeditions.  The great success of these efforts resulted in the cruise lines opening their own Australian offices.

Growing up within the industry (starting as “free labour” in her mother’s agency) has provided Sharon with many opportunities to combine her genuine interest in people and their travel dreams with her own travel experiences and knowledge.  It is this passion and experience that has assisted with the fulfilment of her current role and its varying responsibilities.

Rachel Javier Travel the World

RACHEL JAVIER – Sales Manager (VIC/SA/TAS/NT)

Rachel started in the travel industry in 1982 as a Junior Allotment Clerk for one of Australia’s top wholesalers.  For over 17 years she worked her way up through the ranks, from Reservations to Product, Operations and finally becoming State Manager.

Rachel has been fortunate enough to have worked for many of the major Australian wholesalers in addition to Qantas Airlines.  After an extended maternity leave, Rachel joined Travel the World – Australia’s leading Travel Service Provider – in October 2011 to continue sharing her passion for travel and she has never looked back.

Representing premium brands in the TTW portfolio, along with a key partnership with Ponant, Rachel’s love for her position as Sales Manager VIC/TAS/NT can be seen in her dedication to go above and beyond.  She takes pride in exceeding expectations and providing exceptional customer service by both educating and assisting Travel Advisors with their clients’ travel journeys.

Justin Southern

JUSTIN SOUTHERN – Business Development Manager (Virgin Voyages)

Justin Southern’s first role in the travel industry was with Flight Centre in North Sydney. After five years, His hometown of Canberra was calling, and he was offered a role with Harvey World Travel. It wasn’t too long before Justin moved into a Wholesale BDM role with Escape Holidays, which then became Harvey’s Choice Holidays as National Sales Manager.

In 2001, Justin started working for United Airlines as the Victorian Sales Manager for a period of 8 years. This was then followed by the role of State Sales Manager for Travelcube, an online hotel booking system for the trade. Justin’s passion for his role and the industry was shown when he became one of three finalists in the 2015 NTIA awards. His enthusiasm for each of the roles Justin has held was rewarded when he was offered the role of Sale Manager for Lindblad Expeditions/National Geographic. Now his love for photography and wildlife became a full-time role that he lived and breathed.

Always keen on a new challenge but only one that he could be passionate about has led him to Travel the World and Virgin Voyages. To work with such an experienced team at Travel the World and represent a new brand coming to market is something Justin does not take for granted and he looks forward to all the challenges this role will bring.

Pam Nielsen

PAM NIELSEN – Business Development Manager (Virgin Voyages – QLD/WA)

Pam spent 16 years in the New Zealand Travel & Tourism Industry based in Queenstown on the South Island before moving to Australia.

In June 2010, she jumped the ditch and joined Kirra Holidays as the Business Development Manager (BDM) for QLD & Northern NSW. When Anzcro acquired Kirra, she became the BDM for both companies. Her dedication earned her Best Representative in QLD twice.

New Zealand holds a special place in Pam’s heart. She favours snowboarding over beaches and has skied in NZ, the USA, and Europe. In March 2018, Pam relocated to South Australia to join Journey Beyond (JB) in Adelaide, which then had 3 brands. Fast forward to January 2024, Pam is back living in QLD and has successfully brought 14 brands under the JB umbrella to the QLD market.

Pam is eager to delve into Virgin Voyages, her maiden cruising venture, and can’t wait to share her journey with you!

Robert Shaw Travel the World Group

ROBERT SHAW – Business Development Manager (Windstar)

Robert’s career in the travel industry begin in 1999 when he began working for Aviation Ground Handling looking after the check-in and load control for Sunstate Airlines in Rockhampton.  His experience and dedication to the industry landed him a contract role at Brisbane domestic airport with Sunstate Airlines in the Customer Service team thereafter, before gaining more experience in the retail space working for Flight Centre, Snowcene and finally at Oz Snow Adventures.  Robert’s passion for cruising began in 2012, when he was afforded the roles of Business Development Manager and National Key Accounts Manager for Royal Caribbean International looking after Royal Caribbean, Celebrity Cruises and Azamara Cruises.  Robert has recently joined Windstar Cruises as the Australian Business Development Manager and is looking forward to building on his established relationships within the trade.

Toni Wythes

TONI WYTHES – Business Development Manager (NSW/ACT)

With gypsy blood in her bones, Toni has a deep passion for travel, nature, and culture.

Toni has worked in Tourism and Science for over 25 years. She has travelled extensively through her tourism and scientific work in Ornithology, leading her to many places such as Antarctica, Europe, Africa, Asia, and outback Australia. She has worked and lived in many indigenous cultures and has a special connection with indigenous Australia including setting up the original Cultural Tourism Program at the Garma Festival in collaboration with Yothu Yindi Foundation.

In late 1999 Toni began working with World Expeditions. She worked through all aspects of the tourism business in outback Australia and Asia including being a tour guide, operations, product development and management.

In 2016 Toni studied for a Master of Business Administration (MBA) and then returned and worked at World Expeditions as their Business Development Manager (BDM) in the international wholesale product and development area.

2020 created many changes and challenges which led Toni to set up her own Tourism consulting business doing small contracts in destination marketing and tourism planning, demonstrating her style and experience in travel.  In late 2023 Toni joined Travel the World (TTW) Sales and Marketing team as their Business Development Manager. Toni looks forward to growing the business, finding new opportunities in travel, and working with the team at TTW.

Dana Craven

DANA CRAVEN – Business Development Manager (NSW/ACT)

Dana’s love for travel started at a young age and continued into a career. She worked her way up from Office Junior, Leisure Domestic and then International Consultant before heading overseas to live in London and experience the corporate travel world. She continued to live overseas for many years, experiencing a Ski Season in Banff before enjoying a safari through Africa and heading home. Dana settled back into Sydney and worked for Fiji Airways and Virtuoso’s Island Escapes as the BDM. She has visited over 40 countries and had countless interactions with different cultures and languages. Her positive energy is infectious, and she loves nothing more than putting a smile on Clients’ faces.

Dana has recently joined the Travel the World (TTW) Sales and Marketing team as their Business Development Manager for Chiva-Som Hua Hin and Zulal Wellness Resort by Chiva-Som, Qatar.

Pam-Spencer-Square

PAMELA SPENCER – Manager – Groups & Charter

Born in Scotland, Pamela Spencer originally spent her time working in hospitality and completed travel within the hotel industry. It was only when Pamela moved to Australia in the late 1980’s that she became truly invested in travel. Working her way through all areas of the travel industry gave Pamela the valuable experience needed to decide that group travel was where her true passion lay.

Since 2004, Pamela has specialised in Groups & Charter for all types of travel including expedition, ocean cruising, river cruising, multigenerational and special interest groups as well as luxury tours for business and pleasure. During this time, Pamela also achieved certificates in sales and customer service as well as earning a degree in Ancient History, a CLIA Masters, and has travelled extensively with family and friends across the globe.

With such extensive experience organising extraordinary holidays, itineraries, and events for groups of all kinds, Travel the World cannot recommend anyone better than Pamela Spencer to plan your next adventure.

The History of Bench Africa - The Experts in Africa Travel

Africa travel experts history

The story began when Charles Bench arrived in Australia in 1969 to play tennis while taking a break from his duties as Sales Manager for South African Airways in London. During his visit, Charles discovered a surprising gap in the market. He realised that Australians were not yet travelling to Africa. So driven by his passion for the continent, Charles made a life-changing decision. In March 1969, he took a bold leap and established the very first Africa travel company in Australia - Bench Africa, known then as Bench International.

Interest in South Africa exploded in the '70s. For the next 38 years, the company grew from strength to strength with Charles at the helm surrounding himself with a strong team of Africa travel specialists sharing his passion for Africa and cementing Bench's reputation for being the "Africa Experts".

When Charles retired in 2007, Bench Africa experienced a change in ownership, marking a new chapter for the company. Southern Cross Safaris, a highly respected Kenya-based ground operator renowned for delivering exceptional safari experiences, acquired Bench Africa. At the helm, another sportsman, Mike Kirkland, a celebrated Kenyan rally driver famous for his successful rallying career in the 1970s and 1980s. Driven by his passion for adventure and profound connection to the African continent, Mike's legacy extends beyond motorsport as he established a portfolio of Africa travel businesses across three countries and two continents. The strategic union between Bench Africa's expertise and Southern Cross Safaris' on-the-ground experience has solidified Bench Africa's standing as a trusted leader in the Africa safari industry.

Charles Bench lives on, not only in name but in the very fabric of our being at Bench Africa, and his principles of ' an in-depth knowledge and passion for Africa ' will never change.
