Applying for a Schengen visa for the Netherlands in the United Kingdom

If you will be visiting the Netherlands for a maximum of 90 days – for a holiday, to do business or to see family, for example – you can apply for a Schengen visa. Follow the steps below to apply in the United Kingdom.

Where can I apply for a visa?

To apply for a Schengen visa in the United Kingdom go to the VFS Global application centre in Birmingham, Edinburgh, London or Manchester. You can only submit an application there if you live in the United Kingdom.

Step 2: Gather the documents you need

You need several documents to apply for a Schengen visa. Which ones you need depends on your purpose of travel.

If you are travelling with a family member who is a national of an EU/EEA member state or Switzerland, or you’re travelling to visit that family member, you may be eligible for free Schengen visa facilitation.

Step 3: Make an appointment

Once you have all the documents you need for your Schengen visa application, you can make an appointment. You can apply for your visa up to 6 months ahead of your trip. Apply no later than 45 days before your trip.

  • Avoid unnecessary costs and book your appointment yourself. Do not make an appointment through an intermediary.
  • If you are applying for visas for multiple people, make a separate appointment for each person.

Can someone else submit my application for me?

You must appear in person at your appointment to submit your application, even if you’re under 18.

You don’t need to appear in person to submit your application if:

  • you have applied in person for a Schengen visa within the past 5 years (59 months), and:
  • you submitted a photo with that application, and:
  • your fingerprints were taken for that application (only applies if you are 12 or older).

If you meet all 3 conditions, you can have someone else submit your application for you. The appointment must be under the name of the person submitting your application.

If you are not certain whether VFS Global or the embassy has your fingerprints on record, you should submit your application in person. Neither VFS Global nor the embassy can check this for you.

What happens at my appointment?

At your appointment you:

  • submit the documents that are on your checklist, together with your passport
  • provide your fingerprints (only if you are 12 or older)
  • answer questions about your trip
  • pay the visa fees
  • indicate whether you want to collect your passport (with visa affixed) or have it sent to you
  • receive a reference or tracking number to track the status of your application

Step 5: Collect your passport or have it sent to you

You will receive an email once your application has been processed. The email won’t say whether your application was successful. You can collect your passport or have it sent to you. If your application was approved, the visa will be affixed to a page in your passport.

In this guide, we explain what VFS Global is and what its role is in the UK visa application process.

What is VFS Global?

VFS Global, also known as “Visa Facilitation Services Global”, is an outsourcing and technology services specialist for governments worldwide, tasked with managing the administrative tasks related to visa and other consular services for its client governments.

With over 3000 application centres in countries across 5 continents, VFS Global serves the interests of 70 client governments, including the UK. Aimed at enhancing and streamlining customer experience, the company facilitates the making of visa applications from overseas.

VFS Global does not play any part in the decision-making process for UK visas and has no influence or authority over granting or refusing a visa application. Adjudication remains the responsibility of the relevant department of each respective government, which in the UK is “UK Visas and Immigration” (UKVI). The role of VFS Global is to act as an official partner of UKVI in the administration of certain UK visa applications being made from overseas.

When applying for a UK visa from overseas, you will need to complete an online application with UKVI and pay the relevant fee. As part of the application process, you may also be required to schedule and attend an in-person appointment at a VFS Global overseas visa application centre (VAC) to prove your identity and enrol your biometric information.

When enrolling your biometric information, you must provide a scan of your fingerprints and a digitised photograph of your face, as well as a digital image of your signature.

  • Applying for a visa: you will need to visit the UKVI website at GOV.UK to apply for a UK visas from overseas. There is a link on the VFS Global website to the visa application page. There is also a useful step-by-step guide to walk you through the application process, including researching the type of visa that you will need to enter the UK.
  • Finding a visa centre: having entered your country of origin and the UK as your destination country, the link for finding a visa centre will automatically show you the nearest VACs based on your location, together with their opening hours. Depending on your location, you may be given the option to select which type of VAC you would like to attend. This could include, for example, a premium application centre, a temporary enrolment location or an application support centre, although there are additional costs involved in attending a premium application centre. After selecting the type of centre you wish to attend, you will be directed to the VFS Global website to book an appointment.
  • Booking an appointment: once you have completed your visa application at GOV.UK and selected the VAC you would like to attend, you will need to schedule an appointment so that your biometric data can be captured. You will have up to 240 days to attend an appointment to provide your biometrics and complete the visa application process. You can change your biometric booking up to 24 hours before your scheduled appointment and you can also rearrange your appointment more than once if you need to.
  • Attending a visa centre: you must attend your VAC appointment in person and cannot send someone in your place, where you will need to personally enrol your biometric information, as this is entirely unique to you. Without biometrics, your visa application cannot be processed. If you are applying on behalf of a child under 5, they must also attend the VAC to have their photo taken, although they will not need to provide their fingerprints or signature. Children under 16 need to be accompanied by a responsible adult, and will be asked to provide a photo and their fingerprints, but not their signature.
  • Paying for premium services: having started the visa application process, you can return to the VFS Global website with your reference number to take advantage of any of the premium services on offer. These additional services are designed to make the UK visa application process faster, easier or more relaxed and comfortable, although paying for priority processing or any other optional service does not mean that your application is more likely to be successful. However, priority and other premium services are not available in all VAC locations, where you can use an online tool on the VFS Global website to determine the available services for your selected application centre.
  • Submitting your supporting documents: there may be different options available to you here, depending on your location, including self-uploading the documents needed in support of your visa application or paying for a document scanning assistance service at your VAC appointment. There may also be the option of paying for a postal scanning service. Each UK type of visa requires different documentation, so you must carefully check your visa-type and prepare your documents in advance of making your application.
  • Tracking your visa application: having enrolled your biometric information at a VAC, the processing time for UK visas can vary, depending on your visa-type. For example, a non-settlement visa can take up to 3 weeks, while a settlement visa can take up to 24 weeks, although you may have opted to pay for a faster decision. For both standard and priority processing times, you should be able to track the progress of your visa online.

When does VFS Global release available biometrics appointments?

VAC appointments are usually made available for booking by VFS Global up to 90 days from the current date. If an online message is displayed which states “No Slots Available”, you should try again in a few days time. Additionally, you can only book one appointment per person, where no duplicate appointment will be permitted by the online system.

How do you book a biometrics appointment for VFS Global?

To book an appointment with VFS Global, you will need to select the VAC that you would like to attend, although the nearest location may be in another country. As with the UK visa application itself, you must book your VAC biometrics appointment online.

Having made an appointment, you must then carefully prepare the necessary documentation that you will need to take with you to that appointment, including:

  • a printout of the appointment confirmation letter confirming your appointment details
  • your passport or other valid travel document, with at least one page blank on both sides.

  You may also need to attend with your supporting documents if the location you have selected includes document scanning assistance as part of a paid package. In these instances, you should refer to the document checklist that you received as part of your online application at GOV.UK for the documents you must provide for your visa-type.

You should bring the originals or good quality copies of your supporting documents to your appointment. You can submit photocopies of documents for scanning, but they must be clear, legible, preferably in colour and A4 size. If your documents are not in English, you may need to have translations prepared before you apply for a UK visa. You may also need additional documentation, depending on your circumstances, including:

  • a recent UKVI guideline-compliant photo, if you are exempt from giving biometrics
  • evidence of your permission to be in the country from which you are applying for your visa, if you are not a national of that country
  • evidence of your sponsor’s leave to remain in the UK, if you are applying as a dependant.

What happens at the VFS Global biometrics appointment?

On the day of your appointment, you should arrive 15 minutes before your scheduled appointment time. At this appointment, you will need to submit a scan of your fingerprints and a digitised photograph of your face, as well as a digital image of your normal signature.

A digital finger scanner will collect images of all 10 of your fingerprints. The fingerprint scanner uses no inks, liquids or chemicals and it will not mark your skin. However, you must ensure that your fingertips are free from any form of decoration, cuts, abrasions or any other markings, as these may affect your ability to provide acceptable scans.

A digital photograph must be taken of your full face, which must be clearly visible with no hair across your eyes. You cannot wear sunglasses or tinted spectacles. You will also not be allowed to wear a head covering, unless this is worn for religious or medical reasons.

Uploading documents to VFS Global for a UK visa

Unless you have paid for a document scanning assistance service, you will need to upload your supporting documents online as part of your UKVI visa application process.

After you have applied through GOV.UK for your UK visa, you can upload your documents yourself once you have booked your biometrics appointment with VFS Global. If you do not have all your documents immediately to hand, you can log back into your UKVI account and continue to upload documents until the day before your appointment.

If you wish to upload your supporting documents yourself, you should refer to the document checklist that you received as part of your online application and follow the instructions on the document upload pages. It is free of charge to self-upload, but you are responsible for submitting the correct supporting documents for your category of visa. You must also follow the document upload instructions carefully. You can submit photocopies of documents for uploading, but they must be clear, legible, preferably in colour and A4 size.

How do you use the VFS Global application tracking service?

Having submitted your UK visa application, paid the relevant fee and enrolled your biometric information at a VAC, you will receive an email update when your decision has been returned to the centre. In the interim, you can also track your visa application status online using the link on the VFS Global website. To access this service you will need to insert your last name and the reference number on the invoice/receipt issued by the VAC.

If you cannot easily access email, or would like more detailed tracking information about your visa application, you may also be able to get SMS updates sent directly to your mobile phone. You can check whether this service is available at the VAC you are visiting.

Checking the status of your UK visa decision is an important step in the application process, where this will allow you to stay informed and can give you an idea of how much longer you may have to wait for a decision. The standard and priority processing times are only guidelines. As such, if your application is not straightforward, a decision could take longer.

Importantly, if your application has been pending for longer than the average processing time when tracking your application status, you may be able to contact UKVI to address any issues or correct any errors to help get your visa application back on track.

Equally, by checking your UK visa application status, you can plan ahead and make any necessary arrangements. For example, if you receive notification that your application has been approved, you can start making travel plans or booking your UK accommodation.

UK Visa Application Process: A Step-By-Step Guide

A UK Standard Visitor Visa is one of the most common types of UK Visa, that enables the visa holder to visit the United Kingdom for a short period of time, as a tourist, to visit family or friends, undertake business activities, participate in an event or for special reasons such as receiving medical treatment. Standard visitor visas are multiple entry visas, issued with a validity of up to six (6) months, two (2) years. five (5) years and ten (10) years. However, irrespective of the visa type or validity, applicants will be permitted to stay in the UK for only six (6) months on each visit.

The following article explains the UK visa application process in a simplified manner. Moreover, it will answer your questions about which type of visa you need, how the application process works, what kind of documents you must prepare, and how long it takes to process a UK visa.

Step 1 : Identity your visa type. The British High Commission issues a Standard visitor visa for up to 6 months, 2 years, 5 years or 10 years. Applicants travelling for short term purposes can apply for the popular 6-months multiple entry UK visa. Applicants who need to visit the United Kingdom more frequently can apply for a multi-entry visit visa that lasts either 2, 5 or 10 years respectively.

Step 2 : Complete the  online UK visa application form  for each person applying for the visa regardless of age. (separate application forms are required for each applicant).

Step 3 : Pay the non-refundable UK visa application fee online via debit or credit card. The UK visa fee payment must be made prior to applying for your visa and will be verified by the VFS officials at the time of the appointment. Print out the receipt and keep aside. Note that all visa fees are non-refundable and non-transferable whether the visa for UK is approved or not.

  • Standard Visitor visa – INR 10,299/- (6 months validity)
  • 2 year long-term Standard Visitor visa – INR 34,649/- (6 months stay per visit)
  • 5 year long-term Standard Visitor visa – INR 61,749/- (6 months stay per visit)
  • 10 year long-term Standard Visitor visa – INR 76,999/- (6 months stay per visit)

Step 4 . Book a visa appointment. After you have completed your online visa form and paid the fee, you must schedule an appointment for your Biometrics collection and and documents submission. All UK visa applications require an in-person appointment at the nearest UK visa application center in order to submit the application. Applications should be submitted through the VFS Global visa application center that is connected with the High Commission. Step 5 : Gather the following documents for submitting your UK visa application at VFS center. (Many are denied UK visas due to incomplete file submission). Please ensure that you carry all the original documents along with photocopies.

  • Passport which is valid up to six months after date of entry into the UK. (Carry old passports too).
  • Completed online visa form.
  • Signed UK visa document checklist.
  • Copy of appointment confirmation page and fee payment receipt.
  • Covering letter (optional): A detailed letter that mentions the purpose of visit, duration of stay, details of dependents travelling and any other information that is required for the officials to know.
  • One recently clicked coloured photos on white background.
  • Evidence of sufficient funds: You must show proof that you are able to pay for all costs relating to your UK trip and have the financial means to fund your living expenses as well as any dependents while in the UK. For instance, bank statements, personal assets and investments, property documents etc.
  • If you have a financial sponsor (Spouse, parents or relative in UK) who is paying for your trip: Letter from the sponsor confirming details of the sponsorship, relationship proof, passport copy of the sponsor, bank statements of the sponsor of last three months.
  • If you are travelling for business reasons: Covering letter (sponsorship letter) on the company letterhead, company bank statements of last three months, employee ID.
  • If Employed: Leave sanctioned letter from the company, employee card, pay slips of last three months.
  • If Self-Employed: Business registration documents, partnership deed, company bank statements of last three months, business card.
  • If Retired: Pension book or statement.
  • If Freelancer: Professional certificate (documents pertaining to the profession), contract copy (if consultant with a company), business card.
  • For Students: School/college/institution ID card, Bonafide certificate.
  • Itinerary for your trip: Submit a detailed travel plan of the places you plan to visit and what you intend to do. Include travel dates, destinations, scheduled tours, tourist attractions, meeting agendas, event timeline and so on.
  • Reserved return airline ticket: Do not make final travel plans or book confirmed tickets as there is no guarantee that you will get the visa. If you still wish to book in advance for securing low airfares, it may be advisable to book a fully refundable ticket.
  • If Visiting relatives or friends in the UK: Informal invitation letter from your host in the UK. Copy of your host’s passport, contact details and residential address of the host in the UK.
  • Minor Applicant: Copy of parent(s) or legal guardian’s biodata page of the passport, birth certificate.
  • For Business Visa: Original invitation letter from the UK company on the company letterhead, covering letter from the Indian company on company letterhead, registration certificate of the Indian company and other business related documents.
  • Travelling for medical treatment or to attend social, musical or sports event: Submit documents pertaining to the purpose of travel. Letter from hospital for undergoing medical treatment / Invitation letter for participation in social/musical/sports event.

Step 6 : Visit the UK Visa application center on the appointment date for submission of your visa application. As a rule, applicants should personally submit their visa applications, with all the necessary documents and provide biometrics. Your biometrics are extra identification i.e. fingerprinting and pictures that are stored for security purposes. Applicants who have submitted their fingerprints within the last 59 months will most likely not be asked to resubmit. Children below 5 years of age are exempted from fingerprint data collection, however they are required to be present at the time of submission for digital photograph.

After submitting all documents to the UK VFS Center, the processing period usually takes up to 3 weeks. However, it may be extended up to 30 days and/or exceptionally 60 days for individual cases, wherein a more detailed verification and processing is deemed necessary. Applications must be submitted at least 30 days before the date of travel but not earlier than 3 months before the date of travel.

Though, you will be notified over email and SMS (if you have opted for this service) about your visa application status, you can also track your visa application status online . Use the Reference Number present on the invoice/receipt issued by the Visa Application Centre along with your last name to access this service.

Visa processing times: applications outside the UK

Check how quickly you’ll receive a decision on your UK visa application if you are applying from outside the UK.

You are not required to book any travel before you apply or before a decision is made on your application.

You should allow enough time before you plan travel to make a visa application. You will only receive a refund of your application fee if we have not started to process your application.

You may be able to pay for a faster decision on a visa application.

When your application processing time starts

UK Visas and Immigration (UKVI) starts processing your application once you either:

verify your identity and submit your documents and application online using the UK Immigration: ID Check app . We’ll tell you if you can use this

attend your appointment at a visa application centre (VAC) to provide your fingerprints and a photograph (biometric information)

Applications made in the USA

If you make an appointment at a USCIS Application Support Center to provide your fingerprints and a photograph (biometric information) , you must then send your passport and documents to the VFS processing hub in New York.

If you make an appointment at a VFS premium Application Centre to provide your fingerprints and a photograph (biometric information), you can submit your passport and supporting documents at that location.

In both cases, the processing time starts when VFS receive your application.

When your application processing time ends

You’ll get a letter or email to let you know that a decision has been made on your application .

If you attended a visa application centre, you should not visit one until you have been contacted to do so.

You do not need to contact UKVI to track your application if you’ve already made a visa application and it is still within the current processing times. We will not be able to provide information on the status of your application.

When you might wait longer

Your visa application may take longer to process if, for example:

  • the information in your application is not accurate or requires further consideration
  • you need to provide further evidence, for example evidence of funds
  • your supporting documents need to be verified
  • you need to attend an interview
  • further information is required on your personal circumstances (for example if you have a criminal conviction)
  • UKVI is experiencing increased visa demand

You will be contacted within the current processing times if your application will take longer.

If your application has taken longer than the current processing times and you haven’t been contacted by UKVI about your visa application, you should contact UKVI .

Electronic Visa Waiver - for UK

All nationals from Bahrain, Kuwait, Oman, Qatar, Saudi Arabia, & UAE intending to visit the UK for a period of up to six months will no longer be required to obtain a Visit visa in advance of travel. Nationals from these countries can choose to apply for an Electronic Visa Waiver (EVW) instead of a Visit visa to travel to the UK.

An EVW offers a faster, easier, and cheaper process to visit the UK than a Visit visa. An application can be made between 3 months and 48 hours in advance of travel. There is no requirement for customers to provide biometrics, attend a Visa Application Centre or hand in passports in advance of travel for an EVW.
