What Are Travel Documents?

A  travel document  is a form of identification that governments give to citizens or visitors so they can cross international borders. The U.S. government issues many different types of travel documents. The type of travel document you need depends on your immigration status and the purpose of your trip.

Travel documents are essentially your permits for world travel. Without the necessary ID, your venture abroad can become a nightmare. You always want to ensure you are carrying the correct travel documents pertaining to your specific trip to avoid disastrous consequences.

Types of Travel Documents

The most basic forms of travel documents are passports, passport cards, and arrival/departure records. These required documents allow U.S. citizens to travel abroad and re-enter the country legally upon return. Arrival/Departure records are used for non-citizens entering the country temporarily.

The U.S. Department of State (DOS) gives passports to U.S. citizens. A U.S. passport lets you reenter the U.S. after traveling abroad. U.S. passports act as identification and proof of U.S. citizenship. They are accepted as valid forms of identification in most countries.

Passport Cards

A passport card lets U.S. citizens travel to Canada, Mexico, the Caribbean, and Bermuda at land border crossings or seaports of entry. The DOS introduced passport cards in the summer of 2008 as a cheaper alternative to traditional passports. Any U.S. citizen can apply for a passport card. They are the size of a traditional driver’s license or credit card.

Form I-94 and Arrival/Departure Records

Form I-94, Arrival-Departure Record, is used to record when and where foreign citizens enter and exit the U.S. The form is for people who are visiting the U.S. temporarily and aren’t U.S. citizens or permanent residents (green card holders). Form I-94 documents the date the traveler entered the country and the date the traveler is required to leave.

As of 2013, Form I-94s are created electronically by the U.S. Customs and Border Protection (CBP) and are not given to travelers. If a traveler wants a copy of their Form I-94, they can get one through the  CBP Arrival/Departure Record page .

Citizens of a foreign country usually need a  visa  to travel in the U.S. You can apply for a U.S. visa from a U.S. embassy or consulate in the country where you live. The type of visa you would need depends on why you want to travel to the U.S.

Once you are approved for a visa, the consular officer at the U.S. embassy or consulate will place a visa into your passport. A visa is usually a stamp or loose piece of paper that shows the purpose of your travel and how long your visa is valid. Your visa validity is shown with an “expiration date”—you cannot enter the U.S. after this date. 

At your U.S. port of entry, the Department of Homeland Security will determine the length of time you are allowed to stay in the U.S. They will enter your “departure date” on your Form I-94. This is the date when you are required to leave the U.S. It is the date when your immigration status expires.

Travel Documents Under Special Circumstances

The U.S. Citizenship and Immigration Services (USCIS) issues three types of travel documents for special circumstances. These travel documents allow people to reenter the country without getting a visa. However, a person might need a passport in addition to a travel document in order to reenter the U.S. 

You can file Form I-131, Application for Travel Document, to apply for:

  • An advance parole document
  • A refugee travel document
  • A reentry permit

People who were in the U.S. illegally might not be allowed to reenter the U.S. even if they have a travel document. People who are classified as asylees and applied for asylum on or after April 1, 1997, can lose their asylum status if they return to the country that they sought asylum from.

Advance Parole

An advance parole document allows people who are in the process of adjusting their status, refugees, and asylum seekers who are applying for an immigrant visa to reenter the U.S. These people could be prevented from reentering the U.S. if they didn’t get advance parole before they left. Also, their applications could be denied.

Airlines can accept an advance parole document instead of a visa, but people with an advance parole document will still need a passport to reenter the U.S. You must apply for and receive advance parole before leaving the U.S. To apply for advance parole, file Form I-131.

Adjustment of status applicants might be eligible for a special card that shows they can travel and work. Eligible people can receive this card when they file  Form I-765, Application for Employment Authorization , and Form I-131 at the same time (concurrently). You can file them with your Form I-485, Application to Register Permanent Residence or Adjust Status, or after.

Advance parole status doesn’t guarantee that you will be allowed to reenter the U.S. The decision is left to the CBP officials who inspect you at your U.S. port of entry.

Refugee Travel Documents

The  USCIS  gives refugee travel documents to people who are classified as refugees or asylees or to green card holders who have refugee or asylee status.

You must have a refugee travel document to return to the U.S. if you hold refugee or asylee status and are not a permanent resident. Your family members who are classified as derivative asylees or refugees will also need refugee travel documents to reenter the U.S. 

Failing to get a refugee travel document before leaving the U.S. could cause a person to be denied reentry into or deported from the U.S.

Reentry Permits

A reentry permit allows a permanent resident or conditional resident to apply for reentry after they were outside of the U.S. for one year or more. People who get a reentry permit don’t have to apply for a returning resident visa from a U.S. embassy or consulate.

Emergency Travel

The USCIS might process an application for a travel document faster in the case of an emergency. The USCIS considers the following situations to be emergencies:

  • Not leaving could cause severe financial loss to you or the company you work for.
  • You’re in a life-threatening situation.
  • You need to leave the country because of a humanitarian situation, such as a natural catastrophe or other extreme situation abroad that requires your assistance.
  • A nonprofit organization has requested that you leave the U.S. to participate in a cultural or social program abroad that’s in the U.S.’s interest.
  • The U.S. government has requested you leave the country to participate in a situation abroad that concerns the U.S.’s interests. (This request must come from an official U.S. government agency and say that a delay would harm the U.S. government.)
  • USCIS committed an error with your paperwork.
  • Your departure from the country is in the interest of the USCIS.

Business trips, weddings, holiday parties, and other planned events would usually not be considered emergency situations.

The shipment or delivery of any Service or product, whether electronically, by mail or otherwise, shall constitute substantial performance for purposes of this provision.

Notwithstanding any other provision herein, refunds for services provided by a third-party service provider, including, without limitation, an independent attorney or professional services provider, are subject exclusively to the agreement between you and such third party.

From time to time, Company may promote a special offer on its website or via email or any other place of its choice (“Special Offer”). If there is a conflict between these Terms and any such Special Offer, the Special Offer terms, conditions and refund policies shall apply.

Unless specifically stated to the contrary herein, all refunds will be calculated based on the purchase price paid at the time of purchase. If the Service includes multiple items purchased at the same time (a “Bundle”), items within the bundle will be considered for a refund individually pursuant to the terms of this Refund Policy, and any refund amounts for items within a Bundle will be based on each item’s set individual item price within the total Bundle price.

For Service currently referred to as “Print & Mail”, only one package shipment is included. If a package shows as “delivered” by USPS or other courier tracking, no refund will be issued for Print & Mail Service. If a new package is requested, it can be purchased at a reduced rate of 50% of the original Print & Mail Service price you paid. If a package is not received and cannot be shown as “delivered” by USPS or other courier tracking, we will send out a replacement Print & Mail Service package to you at no cost.

For any refund requests that do not qualify for a refund pursuant to this Refund Policy, Company, at its complete and sole discretion, may choose to offer a credit to you as a courtesy to be used toward the purchase of one or more items of the Service (“Store Credit”). Store Credit will expressly expire after one (1) year from date of issue. Store Credit has no underlying value and at no times can be exchanged for cash or other form of monetary payment. Store Credit may be used by a friend or family member, but is otherwise non-transferrable and cannot be sold or marketed publicly.

Notwithstanding anything to the contrary herein, if you are a resident of the state of California, Illinois, Maryland, Michigan, Minnesota, New York or Utah you shall have the right to rescind the transaction  for any reason , and receive a full refund of your payment for the portion of Service specifically for the use of our form preparation software, within either seventy-two (72) hours or three (3) business days of entering into the contract for such services, whichever is longer. If, at any time, you receive a  final denial from the USCIS   of the application you created after successfully using the Service, Company will refund the fee you paid to the Company for use of the Service  and  any filing fee you paid to the government directly related to the denied application (“Money-Back Guarantee”).

Money-Back Guarantee refund request(s) must be made  within ninety (90) days  of the date of the final denial by the USCIS.  Only the actual applicant (the person whose name appears on the denied application) is eligible to receive a Money-Back Guarantee refund. No refund will be granted to a third party who is not the applicant.

  • Valid U.S. Passport

  • Enhanced Driver's License (EDL)
  • Trusted Traveler Card (NEXUS, SENTRI, or FAST)
  • U.S. Military Identification Card* (when traveling on official orders)
  • Form I-872 American Indian Card
  • Enhanced Tribal Card (ETC)
  • Birth Certificate or Proof of Citizenship (for U.S. and Canadian citizen children under the age of 16, or under the age of 19 if traveling with a school, religious group, or other youth group)
  • Hospital-Issued Birth Certificate (for a newborn whose actual birth certificate has not yet arrived from the Vital Records Department)

*According to  U.S. Customs and Border Protection , military personnel traveling under orders may present a photo ID and orders. Family members must present a passport, with the exception of children 15 and younger arriving by land or sea.  

For   U.S. Citizens Entering from Closed-Loop Cruises   (Cruises That Begin and End at the Same U.S. Port):

  • Birth Certificate and Government-Issued Photo ID
NOTE:   Your destination country may still require you to present a valid passport. Check with your cruise line to ensure you have the appropriate documents prior to travel.  

For   Lawful Permanent Residents of the U.S.   (One of the Following):

  • Permanent Resident Card (“Green Card,” Form I-551)
  • Reentry Permit (if gone for more than 1 year)
  • Returning Resident Visa (if gone for 2 years or more)  

For   Canadian Citizens Entering by Air : (One of the Following):

  • Valid Canada Passport

For   Canadian Citizens Entering by Land or Sea : (One of the Following):

  • Enhanced Driver's License/Enhanced Identification Card
  • NEXUS, FAST/EXPRES
  • SENTRI Enrollment Card  

For   Bermudian Citizens :

  • Valid Bermuda Passport (Visas are only required under   specific circumstances )

For   Mexican Citizens Entering by Air or Sea   (One of the Following):

  • Valid Mexico Passport with Visa
  • Valid Mexico Passport with Border Crossing Card  

For   Mexican Citizens Entering by Land :

  • Border Crossing Card

For Citizens of All Other Countries:

  • Valid Passport
  • Valid U.S. Visa

IMPORTANT:   There are also current United States travel restrictions and requirements in place in response to the ongoing COVID-19 pandemic.   • Negative COVID-19 Test Results – Some countries require you to provide your airline with proof of a negative test prior to boarding. Make sure you verify which types of COVID-19 tests are accepted, and keep in mind that many countries require the test to be taken within 1-3 days prior to travel. For example, as of December 6 th , 2021, all inbound international air travelers to the U.S. who are two years or older must provide their airline with proof of a negative viral antigen or NAAT test taken within one day of their departure to the United States—regardless of vaccination status or citizenship.
  • Vaccine Card or Proof of Vaccinations – Many countries require proof of vaccination to enter. If vaccination isn’t required for entry, it may be required for indoor dining, museums, or other activities within the country. For example, as of November 8th, 2021, all foreign national air travelers (non-immigrants and non-citizens) must provide proof that they are fully vaccinated prior to boarding an airplane to fly to the U.S. And in France, foreign visitors must apply for and obtain a Pass Sanitaire to enter many public spaces, such as restaurants and museums.
  • Health Report – You may need to fill out a health report in addition to proof of vaccination and/or a negative COVID-19 test. These reports can usually be completed online. You should be prepared to provide a current health report from your physician to further validate you are in good health before entering a foreign country.
  • Proof of Travel Insurance with COVID-19 Coverage   –   Some countries  require tourists to provide proof of   insurance that covers COVID-19-related medical expenses   or that meets certain requirements. Other countries,   like Aruba , require you to purchase their own health insurance for visiting tourists.

Note that many regular health insurance plans offer little to no coverage outside of your home country, so you may want to consider travel health insurance for unexpected medical expenses regardless of requirements.

Travelling to your destination, arriving at your destination, places to visit, describing places, asking for help.

Whether you are going on a short holiday for a few days or planning to travel around various countries for a few months, having a basic understanding of the vocabulary and phrases you might need to use for communication is quite important.

English is a widely spoken language in the majority of countries that welcome tourism, so it would be beneficial to familiarise yourself with some useful phrases before departing.

In addition, if you could find out how to say some basic phrases in the country’s native language, I’m sure the local people there would appreciate your efforts!

Basic phrases in English that you should translate and try to use in the native language of your destination:

booking-vocabulary

Book:  as opposed to the noun (reading material), this verb means to arrange and confirm a place on a flight, a room in a hotel or a ticket for an event in the future.

Depart:  to go away or leave, especially on a journey.

Arrive:  to reach a place, especially at the end of a journey.

Reservation:  an arrangement in which something like a seat on a plane or a table in a restaurant is kept for you.

Destination:  the place where someone is going, or something is being sent or taken.

Complimentary:  if tickets books or any other items are complimentary, it means they are given free, especially by a business.

All-Inclusive:  Including everyone or everything. In holiday terms, this would refer to a hotel deal where the price usually includes accommodation, meals and drinks (any extra activities or facilities would be charged separately).

Travel Agency:  a company or shop that makes travel arrangements for people.

Ticket:  a small piece of paper or card given to someone, usually to show that they have paid for an event, journey or activity.

Brochure:  a type of small magazine that contains pictures and information about a product or a company.

Leaflet:  a small piece of paper that gives you information or advertises something.

Last Minute Deals:  these are promotions that are advertised at the latest possible time for those who are more spontaneous!

Promotion:  publicising a product to increase sales or public awareness.

Package Deal:  an offer or agreement involving a number of related items or the acceptance of one being dependent on acceptance of another.

Half-Board:  if you request ‘half-board’ at a hotel, breakfast and dinner would be included in the hotel price (as part of the package).

Full-Board:  if you request ‘full-board’ at a hotel, that would include all three meals (breakfast, lunch and dinner) in the price of your accommodation.

Self-Catering:  if you stay in self-catering accommodation, you would be in a place where you are provided with the facilities to prepare and cook your own meals.

Accommodation:  a room or building in which someone may live or stay. Different types of accommodation include apartments, hotels, guesthouses and backpacking hostels.

Vacation:  the American term for ‘holiday’.

Camping:  the activity of spending a holiday (vacation) living in a tent or campervan.

Backpacking:  to travel or hike carrying one’s belongings in a backpack.

Transfer:  the act of moving someone or something from one place to another.

Budget Holiday:  (adjective) meaning inexpensive. Planning a trip using a minimal amount of money. (Budget – noun) Having a limited amount of money for expenditure:

  • ‘We have to keep within the household budget).

Travel Documents:  all the necessary documents you would need to take with you on a holiday i.e. passport or ID card, driving license, flight/bus/ train tickets, visa confirmation etc.

Outbound:  travelling away from a particular place, usually the first half of a journey.

Inbound:  travelling towards a particular place, especially when returning to the original point of departure.

Two-way, Return Ticket (UK), Round Trip (US):  a ticket that allows someone to travel to a place and back again.

One-way, Single Ticket:  a ticket that allows a passenger to travel only to his/her destination, without returning.

Transport:  (verb  trans-PORT ) to take or carry goods or people from one place to another. (noun  TRANS-port ) A system or means of conveying people or goods from place to place by means of a vehicle, aircraft or ship.

Splash out:  a phrasal verb (mainly used in British English) meaning to spend money freely

Sample Conversation about Booking a Holiday: Travel Agent = TA, Customer = C

TA:  Good afternoon madam, how can I help you today? C:  Good afternoon, I would like to book a trip to Italy for 2 people and a 6 year old child please.

TA:  Is there anywhere in particular you would like to go? C:  I can’t decide between Venice or Rome, whichever is cheaper as we’re on a budget this year!

TA:  Okay, and when would you like to go? C:  We have two weeks of holiday between 18 th June and 2 nd July, and we’d like to go for at least 10 days during that period.

What is Project 2025? The Presidential Transition Project explained.

The detailed plan to dismantle and reconstruct the government laid out by  conservative groups  known as the 2025 Presidential Transition Project has critics up in arms over its " apocalyptic " and " authoritarian " nature.

The Heritage Foundation, a conservative think tank in Washington, D.C., led an effort to create the more than 900-page  "Mandate for Leadership,"  published in April 2023, reimagining the executive branch and presented a plan to overhaul several federal government agencies, including the FBI, for the country's next conservative president to follow.

According to the Project's website, the playbook provides a governing agenda and a lineup of people ready to implement it to "rescue the country from the grip of the radical Left." It includes a domestic and  foreign policy  agenda, a list of personnel, training, and a 180-day playbook.

"It is not enough for conservatives to win elections," Project 2025  said on its website . "With the right conservative policy recommendations and properly vetted and trained personnel to implement them, we will take back our government."

Project 2025's Director is  Paul Dans , who served as the U.S. Office of Personnel Management chief of staff in former President Donald Trump's administration. Although it mentions Trump by name, the handbook does not directly assume the Republican party's presumptive nominee will be the one to carry out its agenda.

What is in Project 2025?

The mandate attacks several policies that former President Barack Obama and President Joe Biden instituted, including  student loan forgiveness  and  Obamacare . It simultaneously calls for expanded executive power for the commander-in-chief while criticizing what Project 2025 members perceive as overreaches by the Biden administration.

"Presidents should not issue mask or vaccine mandates, arbitrarily transfer student loan debt, or issue monarchical mandates of any sort," the plan reads. "Legislatures make the laws in a republic, not executives."

The playbook calls for the reinstatement of a  Trump executive order  augmenting a president's power to hire and fire federal officials by replacing civil servants with political appointees throughout government.

It also seeks to repeal aspects of the  Affordable Care Act , urge the Food and Drug Administration to reverse the  approval of abortion pills , and further empower Immigration and Customs Enforcement to  deport undocumented immigrants .

The plan also specifically addresses LGBTQ+ issues and attacks "radical gender ideology." In addition to calling for an end to the Department of Education, it suggests legislation that would forbid educators from using transgender students' names or pronouns without written permission from their guardians. It also appears to oppose same-sex marriage and gay couples adopting children by seeking to "maintain a biblically based, social science-reinforced definition of marriage and family."

Project 2025 generates concern

Project 2025 has received substantial criticism from Democrats, including  Representative Jasmine Crockett , D-Texas, who called out the controversial plan during a congressional hearing last month.

"I don't know why or how anybody can support Project 2025," Crockett said. "In the United States of America, dictatorships are never funny, and Project 2025 is giving the playbook for authoritarianism as well as the next dictator to come in."

Progressive Democrat U.S. Representative Ayanna Pressley of Massachusetts called it a "far-right manifesto" in a  post on TikTok . The Biden campaign captioned a video detailing Project 2025, stating it "needs more attention."
